If your mail is urgent and needs to be posted before the franking machine can be repaired, you can use the Royal Mail franking machine breakdown service whereby the Royal Mail franks your mail on your behalf. 

There is a small charge for the total postage costs of the mail plus a 20% administration fee.  The total amount will be sent to you in writing and you will need to return a franked impression for the total amount within seven days of your franking machine being repaired.

To use this service you can call 08457 950950 and they will arrange to send you a copy of the franking machine breakdown form which needs to be completed with the appropriate details of the mail to be franked.  All you then do is present this form with your mail at your local mailing centre who will be aware of the details of your mailing.

Alternatively franked mail can be handed in at your local Post Office or an allocated “franked mailbox”.  Franked mail must not be put directly into a regular post box unless metered mail envelopes are used, whereby you can place a low volume of franked post into one envelope.  Metered envelopes can either be obtained from your supplier or direct from the franking machine manufacturer but when used must be clearly marked that it’s metered mail inside.

Franking machines can be used for the following services, first class, second class, recorded delivery, special delivery, cleanmail/business mail, parcelforce and international/airmail.

Please also remember that if there are any changes to your company details, you must tell your franking machine supplier, who will then inform the Royal Mail of your new details in order that a new licence can be produced.

Changes to VAT rules and the way in which our services are regulated have affected the VAT status of a number of our products. A limited range of our services became subject to VAT through 2011, and this will extend to all bulk mail services from April 2012.

Universal services (USO) such as 1st and 2nd Class stamps will continue to be VAT exempt from April 2012.

To ensure the ongoing efficiency of our service, we need to make changes from time to time. We have detailed below some changes specifically relating to Royal Mail franking services.

Value Added Tax (Vat) on our services

We want to remind you that VAT will apply to certain postal services from 2nd April 2012.  In January 2011, we gave you advance notice that from April 2012, VAT rated services paid for using a franking machine would only be available through SMART franking machines.

Using a SMART franking machine makes it easy to claim back VAT paid on many products.  If you don’t already have a SMART machine, please be reminded that you will need one to continue using VAT rated services and be able to claim back your VAT.  Upgrading is easy, just contact your manufacturer or supplier for more information.

Changes to products for users of Royal Mail franking services

Cleanmail becomes Business Mail – We have simplified and re-organised our products and Cleanmail is changing its name to Business Mail.  It’s still simple, continues to offer the same great savings and is the ideal choice if you are posting over 500 letters a day through your franking machine and can separate mail by class.  To continue using our soon-to-be Business Mail products through Royal Mail franking services, please make sure you are already using a SMART franking machine.  If not, we advise you to upgrade as soon as you can to ensure an uninterrupted service.

There are a lot of franking machine inks on the market which are not compatible with our franking machines.  These inks tend to be a lot cheaper and this alone should be a warning to you that they are not genuine.

 It is believed that using non genuine inks in the franking machines can cause damage to the printhead then causing you problems with the quality of the impression. Another indication is that you may notice lines appearing throughout the impression.

Please note our casing around our inks should be grey, not blue or green or any other colour.  If you phone us we can also double check the information that is written on top of the cartridge for you. Non genuine inks have different information on them to ours.

So please make sure you order your ink either direct from ourselves or the manufacturer to eliminate any problems like this occurring.
